Privacy policy

This page explains, in plain English, what data we hold about you and how we use it. You can change your AI preferences, download your data, or request deletion at any time from your account & privacy page.

What data we collect

We collect the information you give us directly (name, contact details, addresses, the equipment you have, the work we do for you, and what you pay us) and a small amount of technical context (the IP address you log in from, browser, and the time you visit) so we can keep your account secure.

How we use it

  • Run the work you've asked us to do — scheduling, invoicing, follow-up.
  • Send you status updates by email and text — only the ones you've opted into.
  • Keep tax and accounting records as required by law.
  • Improve our service to you over time.

Use of artificial intelligence (AI)

We use AI tools (Anthropic's Claude) to help us draft estimates, summarise notes, and handle some chat or phone interactions. When you see an "AI draft" badge, it means the text was started by AI — a real person reviews it before it goes out. Our AI receptionist will always tell you it's an AI and offer to transfer you to a person.

Before any of your data is sent to AI, we automatically remove the most sensitive identifiers (Social Insurance / Social Security numbers, full credit card numbers, bank account numbers, government ID numbers). The AI sees a placeholder so it can still do its job without seeing the raw value.

You can choose how much AI you'd like in your interactions on your account & privacy page — pick "Human only" if you'd rather skip AI altogether.

Where your data lives

Records are stored on encrypted servers operated by our hosting providers in the region your service company has declared. The exact region is shown on your account & privacy page. We never sell your data. We never share it with marketing partners.

Your rights

  • Access: download a complete copy of your records anytime from your account page.
  • Correction: tell us if anything is wrong — we'll fix it.
  • Deletion: request that we erase your records. Some records may be retained for legal-hold reasons (tax records, signed contracts) — we'll explain anything we can't remove.
  • Restriction / objection: ask us to stop using your data for a specific purpose (e.g., marketing emails) without closing your account.
  • Complaint: if you're not satisfied with how we've handled your data, you can complain to the privacy regulator in your region (the Office of the Privacy Commissioner of Canada for Canadian residents, the Information Commissioner's Office for the UK, or your national data-protection authority in the EU).
